VOTING METHOD
This document outlines the voting process for life members in collaboration with elected members in SRI RAMA RAGHU RAMA RAGHUPATHI NILAYAM. The objective is to ensure a fair and inclusive decision-making process, with proxy votes considered equally.
1. Frequency of Meetings.
• Life members and elected members will convene for regular meetings at least annually, like before 30 days of Sri Rama Navami, providing opportunities for collective discussion and decision-making.
• Special meetings may be called to address urgent matters, as determined by the Society.
2. Decision-Making Body.
• The decision-making body will include both life members and elected members, ensuring diverse representation.
• For a meeting to be valid, at least 50% of life members and 50% of elected members must be in attendance, either in person or through valid proxies.
3. Agenda Setting.
• Life members and elected members may propose agenda items for consideration.
• The final agenda for each meeting will be approved through consensus or, if necessary, a vote at the beginning of the meeting.
4. Voting Procedures.
• Before the commencement of any voting, the quorum will be confirmed to ensure the presence of at least 50% of life members and 50% of elected members, including proxies.
• Voting may occur through various methods, including a show of hands, secret ballot, or electronic means, as determined by the Society.
• Proxy votes will be considered equally with votes cast in person. A member may designate any other life member or elected member as their proxy, and the proxy holder must be present at the meeting.
• Decisions will be made based on a majority vote, with ties resolved through additional discussion or, if needed, a tiebreaker vote by the Society head.
• A final voter list, including eligible members, will be prepared and shared before the election.
• Voting may be conducted through secret ballot, electronic means, or any other method deemed suitable by the Society.
• If applicable, physical polling stations may be set up to facilitate in-person voting.
• Proxy voting may be allowed for members who are unable to attend in person, subject to validation and verification procedures.
• An independent committee may oversee the election process to ensure fairness and impartiality.

• The counting of votes will be conducted in a transparent manner, with representatives from candidates allowed to observe.
• The results will be officially declared, and successful candidates will be announced promptly.

7. Amendment of Voting Procedures.
• Proposals for amendments to the voting procedures must be presented and approved through a majority vote of the decision-making body.
